Feedback from employees provides an opportunity to see areas that need improvement. While the absence of any feedback can lead to burnout, internal conflicts and employee outflow.

We made a bot template that automatically and regularly measures the level of satisfaction in the company according to three parameters: individual state, relationships with colleagues, business-processes organization. These parameters create an index of sentiment in the company. It can be viewed in dynamics individually by employee, by department, by branch and throughout the company.

The bot is useful when you need to:
1. understand at what point an employee needs to be supported, sent for training, on vacation, offered new tasks, etc.
2. see how events in the company and/or outside affect the mood of employees
3. see in which departments/branches there is an unfavorable working environment
4. see how people feel depending on their time working in the company
5. maintain a favorable atmosphere in the team and high productivity

How does a bot survey differ from a regular questionnaire:
1. interactive format helps to involve you in the process in the moment
2. communication in the messenger makes surveys convenient
3. issuing points and bonuses helps motivate employees to take surveys
4. automatic reminders to those who did not complete the survey increase the response rate
5. automatic calculation of sentiment rating helps you see the result immediately
6. can be combined with other useful company services: onboarding, FAQ, ordering certificates/documents, applying for leave, etc.

Difficulty level: if you use a template without structural changes, then setting up this bot is easy; if you need to create additional scripts or change the structure of current ones, then you need to understand the tables – this is a more difficult task.
Versatility: suitable for interviewing employees within the company and remotely.

How does it work?
The script can be launched in two ways: send employees a link to the bot, or use the bot to collect employee emails and automatically send a notification with a survey.

Employee registration.
After activation, the bot talks about the goals and rules of the survey, and specifies the employee’s name and department.
Survey.
After registration, the bot transfers the employee to Telegram (you can set up Slack), where the first survey begins. The questionnaire contains 5 multiple-choice questions to assess individual status, relationships with colleagues and organization of business-processes. If an employee evaluates some indicator negatively, the bot clarifies the problem. Points are awarded for completing the survey.
Reminders.
The bot also makes sure that the employee completes the survey to the end. If the survey is not completed, the bot will send two contextual reminders: after 30 minutes and after 1 day. An employee can return to the questionnaire in one click.
Automatic launch of the next survey.
The bot launches each next wave of the survey automatically – at the scheduled time it sends a message with a button to go to questions. This template is configured to send three pulse surveys: after registration, after 1 and 2 months. In the “Sequences” section you can change the period and time of sending messages.
Saving answers and calculating the satisfaction index.
The bot saves all answers to questions in a separate table. Here you can view employee ratings and comments.
The bot also automatically translates the answers into numbers and calculates the overall satisfaction index of each employee, where 20 is the maximum satisfaction index, 5 is the minimum. The index is displayed in a summary table for each wave of the survey.
What to do with the template?
1. Create a project in the chatbot builder and copy this template.
2. If necessary, edit the text of the script: goals and rules of the survey; bonuses that an employee will receive for completing the survey; names of company departments; wording of questions.
3. By default, the template has three waves of surveys configured. If you want to do more surveys and get a satisfaction index, contact us, we will help you set it up. If it is enough for you that the bot saves employee responses – without summary data – copy one of the scripts the required number of times, find block No. 45 “Table” (Add row), click on it – a window will appear, change the serial number in the “Wave” cell.
4. In the “Settings” section, connect the messenger and add a background and avatar for the web version of the bot.
5. Test the bot – take the surveys yourself and check the answers in the tables.
